Many times on the Crown Council network I notice that request come across asking for a “letter” to send to patients on certain insurance plans that we participate in and want to end our participation. Here is a script that should be SPOKEN not sent in the mail to those said patients.

If you were the patient, would you rather have someone you trust (your dentist or one of his/her team members) speak with you or just receive in the mail a “cold” letter about insurance plans?

Here is an example of a “script for you to put the blame where it belongs the “plan”, not with the patient or with our office”.

Mrs. Jones, During the past ___years Delta Dental has increasingly alarmed my team and me with the handling of benefits for patients like yourself. Here are a few of those alarms:

  • Did you know that the insurance company’s dental consultant decides on and dictates treatment for patients without ever seeing or talking to the patient in question?
  • Were you aware that lost x-rays, claims and denials of treatment are based on their technicalities? These delay tactics allow them to minimize the benefits paid out to the detriment of our patients, isn’t that terrible?
  • Did you know of the limits by Delta Dental to new procedures and techniques that we routinely offer to our patients that many other companies cover without hesitation?
  • Are you aware that your yearly benefit maximum has not increased in 15 years, while the cost of your insurance premiums and providing treatment has increased dramatically?
  • Did you realize that the usual and customary fees are not consistent with the other 100 dental insurance companies? Were you aware that some of those same fees are covered by other Delta Dental plans, just not yours?
 

In response to these concerns and after careful consideration, I will be changing my relationship with Delta Dental as of _______.

This does not mean that you must find a new dentist.

I am making this choice so that my team and I can continue to serve you with the highest standard of care and the best quality of materials available. Next time you are in our office, we will explain to you the options for your dental treatment including continuing to file your claims for you. Did you know that there would be little or no change in your benefits by continuing your dental care with us, as a non-restrictive provider?

In closing, my team and I want to personally thank you for your support over the last 25 years. We value your trust. I’m looking forward to our continued relationship.
